One of the principal benefits of the TriSys solution is the ability to synchronise all incoming and outgoing e-mail with the TriSys database. In addition, Outlook contacts and calendars can also be synchronised with TriSys.
The original tools which facilitated this synchronisation comprised Exchange Sync (which worked with Exchange 2003) and the Mail Sync utility (which worked with IMAP e-mail servers). Since the development and maintenance of these tools in the period 2003 to 2009, there has been a gradual shift away from on-premise e-mail management to on-demand/cloud based e-mail provision.
As a result of these changes in business practice as well as the subsequent releases of new technology, TriSys Business Software has decided to bring all of its synchronisation technology together under the umbrella of a unified product entitled TriSys Cloud-Sync.
Supported Platforms
The TriSys Cloud-Sync utility works with the following e-mail/workflow services/products:
· Microsoft Exchange 2003, 2007, 2010
All versions of on-premise Exchange server are now supported.
· Microsoft Business Productivity On-Line Suite (BPOS)
The on-demand fully hosted cloud based Exchange services are now supported.
· Google Mail/Apps
The on-demand fully hosted cloud based G-Mail service is now supported.
Features
The TriSys Cloud-Sync utility performs the following functions:
· Synchronisation of Incoming and Outgoing e-mail
Whether e-mail is sent/received using a PC/laptop/netbook, Outlook, web browser or on a PDA/Phone, each message will be synchronised with the TriSys database and a note/history task linking all sender/recipients automatically generated. This task will contain a link to an attachment which is a copy of the original e-mail.
The copy of the original e-mail will always exist within the TriSys database, even if the original mailbox is removed or becomes unavailable. This not only provides a fully independent audit-trail of all e-mail, but also allows TriSys to index the content and make these searchable from within TriSys’ powerful search.
· Synchronisation of Calendar
Appointments entered into Exchange/BPOS/G-Mail are copied into the TriSys Diary and vice versa. In general, TriSys should be used as the principal workflow tool to generate the scheduled tasks in association with best recruitment practice, and these will be automatically made available from the calendar in Outlook &/or on mobile phones.
· Synchronisation of Selected Contacts
All contacts entered into Exchange/BPOS/G-Mail are copied into the TriSys Contact database, however rules can be setup to ignore private contacts. Because the TriSys database can store millions of contact records, only those marked for synchronisation are copied into the hosted servers for convenient access.
