Managing Outstanding Scheduled Activities
The TriSys Diary Manager and Actions provide very powerful customer relationship management (CRM) tools to manage all scheduled (and historical) interactions with customers. Scheduled activities are automatically generated into the relevant consultant diary by many of the TriSys Actions. Consultants can also use the Diary and Contact forms to schedule meetings, telephone calls etc with specific customers.
TriSys will never however automatically clear these scheduled tasks, and failure by the consultant to effectively manage their respective diary (and indeed for example make telephone calls when scheduled to do so) will result in potentially large numbers of ‘ignored’ scheduled tasks.
It is very important therefore for consultants to use the diary effectively to maximise the benefits of TriSys.
This is how to identify all outstanding activities for any user (or click here to see a movie of this process):
1. Choose the Task Search item in the Search section of the Navigation Bar:

2. Add a new Search by clicking on the Add tool button:

3. Create a new entity search by entering the name: “Outstanding Scheduled Activities by User” and Click the save button:

4. Click on the Add tool button to add the first search criteria:

5. Choose the Scheduled field:

6. Set the Scheduled field to ticked:

7. Add the Clear field and set to un-ticked:

8. Add another field and choosing the Start Date field – this will automatically default to todays date. Change the comparison to “Less Than”:

9. Finally, add one or more consultants by adding a field and choosing Login Name and entering the name of the consultant:

10. Press the Search button to begin the search and the search results tab will show all outstanding scheduled activities for the specified user:

When this list is displayed, the consultant can drill into each activity by double clicking and either drill into the contact or clear or follow-up the activity.
It is also possible to set this search to find scheduled activities for all users or groups of users, for example the following search has been setup to find outstanding scheduled activities for the sales team:
